Google Calendar Integration

By integrating Google Calendar and bao.ai, we simplify the users workflows and enable the user to conveniently manage Google Calendar events within the bao platform. Furthermore, the integration allows the user to schedule bao’s automated meeting bots to join an event, based on the event data provided by this integration. For this purpose we require to process and store data from Google Calendar API, as outlined in the following sections.

Data we collect

  • User data: email, name
  • Google data:
    • event data: ID, title, description, start and end time, organizers & attendees (email)
    • calendar data: user/event timezone

How and why the data is collected

We use the data in order to simplify and automate user workflows related to the bao.ai service – for further details see: https://www.bao.ai/

The above data is collected only after the user integrates with Google Calendar (via OAuth) and provides appropriate consent during this integration.

The data is stored and managed on the bao platform to enable and support the use-case outlined above. The data is not processed outside of the outlined use-case and disclosure of information is regulated in section Disclosure of information – Legal Compliance.

The data is only processed for simplifying user workflows and improving user experience on the bao platform. More explicitly, the data is not used to develop, improve, or train generalized AI and/or Machine Learning models.

Used APIs

The following API endpoints/scopes are used to retrieve data:

  • calendar/v3/calendars/primary/events: main API endpoint, enables users to create, modify, and manage Google Calendar events on the bao platform without having to switch the context of the current workflow.
  • calendar/v3/calendars/primary/events/watch: used to automatically update information in case of modified calendar events
  • auth/userinfo.email: determining the correct email address the user is intended to use for integrating with bao
  • auth/calendar.settings.readonly: used to retrieve timezone information from the users calendar

 

Security & Retention

The data is secured both at rest and in flight using state-of-the-art security standards (procedures along Information Security Governance aligned with ISO 27001). Personally identifiable information (PII) and other related data is retained until its purpose (integration in order to simplify user workflow) is no longer given. Your personal information is retained to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law.

 

Disclosure of information

We do not sell, trade, or otherwise transfer your personal information to third parties without your explicit consent, except in the following circumstances:

  • a. Service Providers: We may share your personal information with trusted third-party service providers who assist us in operating our application and providing services to you. These service providers are listed in the DPA of bao and are contractually obligated to maintain the confidentiality and security of your personal information.
  • b. Legal Compliance: We may disclose your personal information if required by law, governmental or regulatory authorities, or to protect our rights, property, or safety, or that of our users or the public.
